3. How long we keep data
- Enquiries that do not lead to a contract: up to 24 months after the last contact, unless you ask us to delete earlier.
- Contract and accounting records: for the period required by Polish tax and accounting law (generally 5 years from the end of the tax year).
- Data needed for possible claims: until the limitation period expires.
- Consent-based data: until you withdraw consent.
4. Who receives your data
We share data only where needed and with providers bound by confidentiality and data-processing agreements: our website hosting provider (Cloudflare), our form delivery service (Web3Forms), which passes form messages to our mailbox, our email provider (Microsoft 365), IT and communication tools (including WhatsApp, operated by Meta), accounting and legal advisers, banks and payment providers, freight forwarders, customs agents and inspection companies (only the delivery and contact details required for an order), and public authorities where legally required. We do not sell personal data.
5. Transfers outside the EEA
Some providers (for example WhatsApp / Meta) may process data outside the European Economic Area. Where that happens we rely on an adequacy decision (such as the EU–US Data Privacy Framework) or Standard Contractual Clauses approved by the European Commission. Shipments from India and Bangladesh may require sharing the minimum business contact details of the consignee with logistics partners and customs agents.
6. Your rights
You have the right to access your data, rectify it, erase it, restrict or object to processing (including processing based on legitimate interest and direct marketing), data portability, and to withdraw consent at any time without affecting earlier processing. To exercise your rights, email info@lotusglobaltraders.com.
You may also lodge a complaint with the supervisory authority: Prezes Urzędu Ochrony Danych Osobowych (UODO), ul. Stawki 2, 00-193 Warsaw, Poland, uodo.gov.pl.
7. Automated decision-making
We do not use automated decision-making or profiling that produces legal effects concerning you.
